How they work
Each agent reviews the corporation's records in its area and proposes actions. Every suggestion is added or dismissed by a person. Anything added becomes a tracked action item recorded in the audit trail.
They propose; they never act
No agent sends an email, charges a lot, assigns a contractor or closes anything. The proposal sits in a queue until a council member decides. It's the same rule everywhere the AI helps: it prepares, you decide.

Compliance Concierge
Watches statutory deadlines and drafts the next step before you're late — the depreciation report, insurance renewal, and every tracked duty you've switched on.
"The fire inspection is due in six weeks and the last one was performed by Acme Fire Protection. Draft a booking request?"
Collections
Spots overdue accounts and proposes a polite, rules-aware reminder sequence — sequenced so a first-time late payer doesn't get the letter written for a chronic one, and aware of what your bylaws actually permit you to charge.
"Lot 204 is 47 days overdue, $874 including interest at your bylaw rate. First reminder drafted."

Maintenance Triage
Prioritises incoming repair requests and suggests an insured vendor from your directory.
"Three requests today. The lot 312 ceiling leak looks like the highest priority — active water. Suggested vendor: Nordic Plumbing, COI current to Nov 2026."
Vendor Compliance
Warns before a contractor's certificate of insurance or WorkSafeBC coverage lapses.
"Acme Landscaping's WorkSafeBC clearance expires in 21 days. They have an open work order. Draft a request for updated documentation?"

Budget Watch
Flags unusual spending and funds running low, in plain English.
"Repairs and maintenance is at 81% of the annual budget in month five. Two large plumbing invoices in March account for most of it."

Review the suggestions
Once a week, or before each council meeting. It takes a few minutes.
Add the ones you'll act on
They become tracked action items with a record of who added them.
Dismiss the rest
Not every suggestion fits. Dismissing is a legitimate outcome, not a failure.
Do the work
An added item is a reminder, not a completion. The agent drafted the reminder; sending it is still yours.
Put it on the council agenda
"Review agent suggestions" as a standing item takes two minutes and means nothing sits in the queue for a month.
Getting good suggestions
Agents read your records. Thin records produce thin suggestions:
- Vendor coverage dates — without them Vendor Compliance has nothing to watch.
- Tracked duties switched on — Compliance Concierge only knows about obligations you've told it about.
- An approved budget — Budget Watch compares actual against budget; with no budget there's no comparison.
- Current ledgers — Collections is only as accurate as the payments recorded.
When a suggestion is wrong
Dismiss it. Agents work from what's recorded, and a suggestion built on a stale record will be off. If it's wrong because the underlying data is wrong, fix the data — the next run will be right.
If an agent is consistently wrong about something, tell us. That's a bug, and a useful one to hear about.
Cost
Each agent run consumes an AI action from your monthly allowance. The Council plan includes 1,000 a month, which is far more than agent runs will use.
Not on the Council plan?
The compliance calendar still tracks your deadlines, vendor expiry dates are still recorded and visible, arrears are still visible on the ledgers, and budget-against-actual still appears on the financial statement.
